How to choose boxes, internal protection, void fill and barriers suited to the item’s weight, shape, finish and fragility.

A box that is too large increases internal movement; one that is too tight leaves little room to absorb shocks. Aim for a balance between protective space and stability.

For heavy items, avoid cardboard already weakened by moisture, creases or previous shipments. Corners and the base should support the contents without collapsing.

For substantial weight, use a stronger construction or double-boxing system rather than relying on one lightweight outer box.

Material touching the item directly has a different role from outer void fill. It should protect the surface without scratching or creating concentrated pressure.

For delicate finishes, avoid leaving adhesive or rough materials directly against the surface for long periods. Use a clean, non-abrasive first layer, then add impact protection.

If compatibility with a particular finish is uncertain, use a neutral barrier and check the instrument or case manufacturer’s guidance.

Impact protection creates distance from the outside and spreads mechanical loads.

Increase protection around corners, edges, handles, headstocks, protruding controls, displays and other areas likely to take a direct hit. Do not compress components that should remain free of load.

The goal is not identical thickness everywhere, but understanding where an external impact could most easily be transferred to the item.

After protecting the item, fill empty spaces so the contents cannot build up momentum inside the box.

Gently test the parcel during preparation: if you can hear or feel movement, the system is not yet stable. Void fill should keep its position under the item’s weight.

Do not use very soft material as the only support for heavy components; it can compress during transit and create new empty space.

Box corners and item edges deserve attention because they can concentrate impact forces.

Use protection that maintains distance from the outside and spreads the load. Avoid hard blocks pressing directly against necks, controls, keys, connectors or other vulnerable parts.

Think of packaging as a system: outer shell, energy-absorbing zone and immobilised item, rather than unrelated pieces added at random.

A parcel may encounter rain, wet surfaces or very different environments. A moisture barrier can help protect the item and internal paperwork.

Before sealing, make sure the item, case and packing materials are dry. Do not enclose a damp item assuming plastic will solve the problem.

Water protection complements mechanical protection; a bag or film does not replace a box, immobilisation and impact absorption.
