Handover and documentation
Evidence worth keeping at handover: photos, label, receipts, tracking and communications.
Before handover, photograph the sealed parcel from several sides and record the condition of corners and seams.
Take at least one image linking the label to the parcel, but do not publish photos exposing personal data. Keep these images as private transaction records.
If the parcel is reinforced or relabelled at the drop-off point, update the final documentation.
When handing over the parcel, keep the receipt or collection evidence showing the date and shipment identifier.
If the acceptance point records a weight, compare it with your own measurement and keep that figure. Material discrepancies should be clarified promptly.
Do not delete the documents as soon as tracking shows “delivered”; retain them until the transaction is genuinely complete.
After handover, share the tracking number through the transaction channel where available.
State how many parcels were sent and mention any relevant agreed details. Ask the recipient to inspect the exterior on delivery and keep all packaging until the item has been checked.
Avoid moving important agreements to channels that are difficult to document when the marketplace provides messaging linked to the transaction.
